See All the Tasks You’ve Created, Followed, or Assigned

Asana Tasks I've Created, Assigned, Followed

When your team first starts using Asana, you usually begin with a single project and a few dozen tasks. At this stage, it’s easy to look at the project to make sure everything’s on track or scan for a task that you want to update.

But over time, as you start to manage more projects and work with more people, it can be really helpful to get a comprehensive view of all the tasks you care about. You might want to see all of the tasks you’ve followed to quickly find a task when you don’t remember its name. If you’re a manager, you might want to follow up on all of the tasks you’ve created or delegated to other people.

Today we’re introducing three new ways to search across your entire workspace to find the tasks that are important to you: Tasks I’m Following, Tasks I Created, or Tasks I’ve Assigned. To get to any of these, just click on the arrow next to the Search box.

When you select one of these views, you’ll see the matching tasks in the center pane. By default, these tasks will be sorted with the most recently-modified task first. You can also sort by the date they were created or the date they’re due, and you can scroll to go as far back in time as you’d like. If you want to take action on multiple tasks, like setting a due date on several tasks at a time, you can multi-select and edit them all at once.

These three new views are enabled by a powerful new search system, and are just the beginning of our work this Episode on Memory Retrieval.

    Doing this for ‘tasks I’ve assigned’ then sorting by ‘creation time’ allows me to…uh…manage.

    Good thing my Biz card says “Manager”. Up till now I always thought it was a Type-o. :)

    i dont understand. what is a diffrence beetwen My Tasks and Tasks I’ve assigned?

      My Tasks are the tasks that other people assigned to you. Tasks I’ve assigned are tasks that you assigned to someone else. This lets you follow up on those tasks easily.

        Tasks I’ve assigned, when I use this search, shows all tasks, even the one I have assigned to myself. This is not as convenient as tasks I have assigned to others only. Do I use it correctly?
        Also, we should be able to hide completed tasks, as this window can get quite busy.

          +100. I second this!! This feature would get 10x more useful if I could hide the tasks assigned to myself, and the completed tasks, and sort it in order of due date with the soonest dates at the top.

      That would be very useful indeed. How I manage to work around this “problem” thus far: by creating a fictional member in our workspace. As such, everyone in my team can find in one overview tasks that already have been created but are waiting to be assigned to one of us.

      Same! Tasks created in projects that have their project tag removed can never be found again unless you search and know exactly what you’re looking for.

    Asana continues to seamlessly integrate within many facets of my personal and professional life. Asana is such a pleasure to use that I am now tracking more things than I ever thought I would and am actually getting most of them completed or at least tracked and assigned and with this new search feature it is much more likely that fewer of these tasks will fall between the cracks.

    Asana absolutely Rocks big time and is such an integral part of my day along with a handful of other go-to apps that I use on a minute-by-minute basis. You guys continue to get better and better with every new iteration of your product and thanks so much for making it available for free for teams up to 30 members as it is a big help to all the freelancers and start-ups in all that we have to do without a lot of resources.

    I am fast converting anything and everything over to Asana including Bug Tracking and CRM in the short-term and better management of my inboxes in the longer-term as well as moving other tracking systems over to the Asana way as it just works, is always up, and extremely focused, fast, efficient, and productive where in the end more things just get down using Asana without all the busy work and drama that can go along with getting things done on a daily basis.

    Hi Team Asana,
    An awesome feature indeed, but when I select tasks I follow, and sort by due date the last task is being listed first instead of the earliest task, ilke the other sort by date on projects,

    Since I follow all the tasks on all the projects as a manager, I need to scroll down down down……………. to get the task that is due today. Is this a bug or was it meant to be that way. If so WHY?

      We’re planning to fix that once we can filter out completed tasks. Otherwise you’d have to scroll past all of those.

    Am I doing something wrong?

    When I choose “tasks I’ve assigned”, I see everything I’ve assigned to anyone else and also to myself! It also includes completed and archived tasks.

    I really only want to see the ones that re active and assigned to someone else in this view…

    What am I missing?

    Thank you, it is brilliant. Finally there’s a way to see tasks across projects even if I’m not assigned on them.
    The icing on the cake would be “All Task” as an option that would list everything in the workspace.

    Excellent! Now just need to be able to filter out completed tasks and tasks I’ve assigned to myself. That will help cut down on the “clutter” so I can zero in on who still hasn’t done what on my projects. Then it will be perfect!

    Brilliant… nearly!

    But this needs some filters and it’ll be twice, three times as useful. For instance, not that useful to see tasks that I’ve assigned to myself… I see those through the normal views. Also be great to sort the list by person, much easier for kicking recalcitrant users.

    Keep up the good work. It’s an awesome product.

    This is great. A great next step would be to replicate this search function across all workspaces, not just projects. I struggle with not being able to see my entire to-do list for all projects in all workspaces at a glance.

      I think the functionality of being able to look up tasks in different ways is wonderful, but this feature is hindered by the number of workspaces I keep track of. My organization sprawls across multiple workspaces, and I “touch” many of them on a given day. I have asked for one common My Tasks and Inbox area across workspaces since I first started using Asana in October, and now I will ask that these new features function across workspaces as well.

      Asana’s either unable to draw that information into a common My Tasks area or Inbox, or it goes against their design philosophy. I’m not sure which, but I’m starting to sound repetitive on Twitter asking for the same feature over and over!

      In the meantime, I will continue to monitor half-a-dozen workspace inboxes . . . perhaps they are training me!! Hmm.

        Separate workspaces make it great to plan projects across multiple businesses (one per workspace in my case). But…not being able to view global projects, tasks, inboxes across workspaces makes it very inconvenient to actually manage the projects within each workspace/business.

        A timeline view within (and across) workspaces would also be extremely helpful.

        Anyone have current workaround suggestions? Using tags and keeping everything in one workspace won’t work in my situation because not all users should have access to all business info. Suggestions welcome. Thanks.

    This is great. One other option for sorting tasks would be according to project so that you could see all projects and all tasks sorted on the same screen.

    Filter by due date does not work correctly. I did see my tasks rearrange, but it wasn’t by due date. Tasks that are due by March 28 are displaying above tasks that were due last week.

    Downfall… great idea. But it serves no purpose since all views show all completed tasks. The list is 98% completed tasks.

    Also, the sort by due date is only newest to oldest… from a management perspective, would be great to see all non complete tasks by due date, sorted by oldest on top.

    Maybe I am missing something with all the hype? The views are unmanageable.

    Deliberate, setting, or bug?: if a task gets added to a workspace and assigned to a user with due a due date–but NOT put in a particular project within that workspace–I do not see the task in any search view (following, created, assigned).

    Am I doing something incorrectly (setting change or something) or is this intentional and all tasks must be within projects to be displayed?

      Tasks become public when they’re added to public projects.

      Otherwise, they’re private to the people who are following the task. You can also set a task explicitly to be public.

      So you should see those tasks in your search views if you are following them, but other people who aren’t following them won’t be able to see them.

    After using this feature a bit, I have an additional feature request. How hard would it be to add another filter on here to filter out completed/archived tasks? Now if my teams was following best practices, all of our tasks would have due dates and I could sort like that, but this is not always the case. Then when we have over 200 archived tasks, they kind of clutter the interface.

    Nonetheless, this feature is great. Thanks!
